VLSHEETS ("we," "our," or "us") provides a document data extraction tool that integrates with Microsoft Excel, accessible via our website (vl-sheet.online) and Excel add-in (the "Service").
This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights available to you — including specific rights for users in the European Union (GDPR) and California (CCPA/CalOPPA).
By using the Service, you agree to the practices described in this policy.
1. Information We Collect
1.1 Account Information
When you sign up, we collect:
- Your name and email address, via Google Sign-In (OAuth) or email/password authentication through Supabase
- Authentication tokens used to keep you signed in across the website and Excel add-in
We do not offer login via Facebook, Twitter/X, GitHub, or LinkedIn.
1.2 Documents and Extracted Data
When you use the extraction feature, we process:
- Files you upload (PDF, image, DOCX, or spreadsheet documents)
- The schema/columns you define for extraction
- The structured data extracted from your documents
Retention: Uploaded files are processed in memory during extraction and are not persistently stored on VLSHEETS servers after the job completes. Third-party processors (Google Gemini, Azure Document Intelligence, Hugging Face) receive document content only for the duration of processing. Supabase stores job metadata only (status, credits, pages processed) — not file contents. We do not use your documents to train AI models.
1.3 Usage and Billing Information
- Credit balances and extraction job history (pages processed, model used, timestamps)
- Subscription plan and billing status
- Payment transaction records, processed via Razorpay (we do not store full card numbers)
1.4 Technical Information
- Standard server logs (IP address, browser/device information, request timestamps) for security and fraud prevention
- Add-in version and basic usage data for reliability purposes
1.5 Information We Do NOT Collect
We do not access or collect:
- Your device location (no geolocation services)
- Your contacts
- Camera access or photos from your device — file uploads use a standard file picker, not camera or gallery APIs
2. How We Use Your Information
We use the information described above to:
- Authenticate you and maintain your account
- Process document uploads and return extraction results
- Track and enforce credit usage and plan limits
- Process payments and manage subscriptions
- Send transactional emails (e.g., purchase confirmations) via Resend
- Provide customer support
- Improve the reliability and performance of the Service
- Comply with legal obligations
3. Third-Party Service Providers
To operate VLSHEETS, we share data with the following third-party processors, solely for the purposes described:

Each provider has its own privacy policy governing how they handle data. We choose providers that maintain industry-standard security practices.
No Advertising or Remarketing: VLSHEETS does not use remarketing, retargeting, or advertising tracking services. We do not use Facebook/Meta Pixel, Google Ads conversion tracking, LinkedIn Insight Tag, or any similar advertising technology. We do not sell, rent, or share your personal information with third parties for advertising purposes.
4. Data Security
We take reasonable technical and organizational measures to protect your information, including:
- Encrypted connections (HTTPS/TLS) for all data in transit
- Authentication via secure token-based sessions (Supabase Auth)
- Access controls limiting who can view account and document data
However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
5. Your Rights and Choices
5.1 General Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate information
- Delete your account and associated data
- Export your data (data portability)
- Withdraw consent for optional data processing
To exercise any of these rights, contact us at support@vl-sheet.online, or delete your account instantly from Dashboard → Account settings using email verification. We will respond within a reasonable timeframe and in accordance with applicable law.
5.2 GDPR Rights (European Economic Area / UK Users)
If you are located in the EEA or UK, you have rights under the General Data Protection Regulation (GDPR), including:
- Right of access to your personal data
- Right to rectification of inaccurate data
- Right to erasure ("right to be forgotten")
- Right to restrict processing
- Right to data portability
- Right to object to processing based on legitimate interests
- Right to lodge a complaint with your local data protection authority
Legal basis for processing: We process your data based on (a) performance of a contract (providing the Service you signed up for), (b) your consent (e.g., optional features), and (c) legitimate interests (e.g., fraud prevention, service improvement).
International transfers: Your data may be processed by providers located outside the EEA (e.g., United States, India). Where this occurs, we rely on appropriate safeguards such as standard contractual clauses used by our providers.
5.3 CCPA / CalOPPA Rights (California Residents)
If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) and California Online Privacy Protection Act (CalOPPA), including:
- Right to know what personal information we collect, use, and disclose
- Right to delete personal information we hold about you
- Right to correct inaccurate personal information
- Right to opt out of the sale or sharing of personal information — note: VLSHEETS does not sell or share personal information with third parties for advertising purposes
- Right to non-discrimination for exercising your privacy rights
Do Not Track signals: Our website does not currently respond to "Do Not Track" browser signals, as no industry-standard mechanism has been adopted.

6. Data Retention
- Account data: retained for as long as your account is active. You can delete your account at any time from Dashboard → Account settings on the website; we will verify your email with a one-time code, then delete your personal data immediately. Billing records may be retained as required by applicable tax and accounting laws.
- Uploaded documents and extraction results: processed in memory during extraction and not persistently stored on VLSHEETS servers after the job completes. Job metadata (status, credits, pages processed) is retained in your account history.

7. Children's Privacy
VLSHEETS is a business/productivity tool intended for users aged 18 and older (or the age of majority in your jurisdiction). The Service is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it.
8. International Data Transfers
Our service providers may process data in countries other than your own, including the United States, the European Union, and India. By using VLSHEETS, you consent to this transfer, processing, and storage of your information, subject to the safeguards described in Section 5.2.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of material changes by posting the updated policy on this page with a revised "Last updated" date.
